Founded in 1950, the Indiana Bar Foundation (Foundation) inspires and leads change to improve civic education and legal assistance for all Hoosiers. The Foundation provides civic education programming to Indiana elementary, middle, and high school students through programs such as We the People and Mock Trial and supports access to legal information and resources through and by providing grants to organizations offering free legal assistance to low-income Hoosiers around the state.

Position Description

The Office Manager is a full-time position responsible primarily for supporting the Foundation’s management team. A high level of professionalism, flexibility, organization skills, and attention to detail is required.

Essential Duties and Responsibilities

  • Greet office visitors in a courteous and professional manner.
  • Respond to all phone, e-mail, and web inquiries professionally and promptly (within 48 hours) or direct to the appropriate place internally.
  • Manage basic office organization, including inventory and ordering office supplies.
  • Open mail, distribute, and process accordingly.
  • Print postage and assist with mailing letters and packages.
  • Maintain calendars, including the President & CEO’s calendar, an organization-wide operations calendar, and conference room reservations calendar.
  • Schedule and coordinate meetings on behalf of the management team.
  • Provide administrative support by hosting Zooms, taking meeting minutes, and completing follow ups for various meetings.
  • Lead the coordination of all internal and external events, meetings, and conferences in collaboration with other departments at the Foundation. This includes securing venues, vendor management, food and beverage, AV, onsite set up, and other logistics.
  • Assist with coding invoices and credit card receipts.
  • Book travel arrangements.
  • Prepare and manage documents within shared drive.
  • Other duties as assigned.

 Qualifications and Experience

  • A minimum of 2 years office management or administrative related experience required
  • High school diploma or equivalent required; some college or professional school preferred
  • Ability to work collaboratively and professionally with staff, board members, committee members, volunteers, donors, and vendors
  • Excellent communication skills (both verbal and written)
  • Ability to accomplish projects independently and within a team
  • Proficient computer skills: Microsoft Office, Zoom
  • Exceptional time management skills, multi-tasking abilities, team player
  • Excellent interpersonal skills with a high level of professionalism
  • Ability to handle sensitive information in a confidential manner

Hours and Benefits

This is a non-exempt, full-time position scheduled to work a standard work week (Monday-Friday, 40 hours per week) in the office. Some evening or weekend hours required. Physical requirements are those present in normal office environment conditions. Employee is required to sit at a desk and work at a computer for long periods of time.

This position traditionally starts at an annual salary of $42,000. Salary for this position is commensurate with education and job experience. The Foundation offers a comprehensive benefits package, including insurance premium coverage for medical, dental, vision, and long-term disability, employer HSA contributions, 10% employer 401(k) contributions, and three weeks paid time off.
